Credit Notes and Refunds

    A Credit Note 

    A Credit Note is a document to send to the customer to show that you are providing a credit to their account. This is usually because they have returned the goods you sold them.

    A Refund 

    A Refund is used for an invoice that has already been paid by the customer, where all or some of the moneys paid must be returned. 
     
    A full or partial credit note or refund can be issued using EasyInvoice.
     
    Choosing the correct option is ivital for your accounts especially if you ever decide to upgrade to EasyBooks, our full bookkeeping solution.
     

    Credit Note. 

    From the Dashboard click on ‘Sales+’ and then ‘Credit Notes’ (top right).
     
    Then tap the ‘+’ sign (top right) of the Sales screen, or ‘+Add new credit note’.

    Choose Customer

    ‘Choose Customer’

    ‘Choose Customer’ will display a list of customers. Either select the correct client from this list or use the Search facility.
    Tap on ‘Choose invoice’ to display the invoices you have rendered to this customer. 

    In this case, the Customer is Occupational Safety Group UK LTD. The Invoice chosen is for Golf Balls.
    Swipe left on the invoice line to reveal the Credit Note Amount field. Enter the credit amount.

    Scroll down to review

    Scroll down to review the details of the Credit Note. If it is correct, tap on ‘Save’ to enter it into the system. Then you can print it or email it using the Android Share icon, (top right) see ‘Sending an Invoice’.


    Another kind of Credit Note is available – ‘Add Custom Credit’. You can use this if the Credit Note is not associated with any particular line item.

    Refunds

    From the Dashboard click on ‘Sales+’ and then Refunds (top middle).   Then tap the ‘+’ sign (top right) of the Sales screen, or ‘+Add new Refund’.

    ‘Choose Customer’

    ‘Choose Customer’ will display a list of customers. 

    Either select the correct client from this list or use the Search facility.

    ‘Choose invoice’

    Choose invoice’ will present those invoices you have rendered to this customer that they haveit  fully paid. The list will be empty if no invoices for this customer have been entered as ‘Paid’ in EasyInvoice. See ‘Receiving Payments’.
    Here is a sample of the Refund screen for a customer Miller Thomson who have paid an invoice for 25.00 and VAT of 5.00.
     
    To refund this swipe left on the line item and insert 25.00 into the Refund amount field. EasyInvoice will add the correct Vat amount to the refund amount.

    Scroll down to the Preview

    Scroll down to the Preview button to check the refund. If is correct, ‘Save’ the Refund notice to enter it into the system. Then you can print it or email it using the Android Share icon, (top right) see ‘Sending an Invoice’.
